Email Notifications Reference

This article lists every transactional email sent by MessageFuture, who receives it, and when it is triggered. All emails are delivered via AWS SES from MessageFuture’s official sending domain.


1. Welcome / Email Verification

Sent to: New user (the person who just signed up)
Triggered when: A new account is created

Contains:
– A welcome message
– An email verification link to confirm your address

The account cannot be used until the email address is verified by clicking the link.


2. Schedule Confirmation

Sent to: Message owner + all assigned Guardians
Triggered when: A delivery date is set or changed on a scheduled or timeless message

Contains:
– The message subject
– The scheduled delivery date and time (in the owner’s saved timezone)
– A reminder that delivery can be cancelled or rescheduled up to 4 hours before the scheduled time
– For Guardians: a note confirming they are listed as a Guardian on this message

This email fires any time a date is set – whether by the message owner or by a Guardian exercising their “Can Update Delivery Date” permission.


3. Guardian Invitation

Sent to: The contact being invited to become a Guardian
Triggered when: A user promotes a contact to Guardian

Contains:
– The inviting user’s name
– An explanation of what a Guardian is and what the role involves
– A link to accept or decline the invitation

The contact must click the link and sign in (or create an account) to accept. Their Guardian status remains pending until they do.


4. Guardian Activity Notification

Sent to: Message owner + all other Guardians on the same message
Triggered when: A Guardian takes an action on a shared message

Actions that trigger this email:

Contains:
– The Guardian’s name
– The action taken
– The message subject
– The timestamp of the action

This ensures no Guardian can act unilaterally without everyone else being informed.


5. Message Delivered – Recipient Notification

Sent to: Each recipient of a delivered message
Triggered when: A message is successfully delivered (scheduled date reached, or Guardian triggers a Timeless message)

Contains:
– The sender’s name
– The message subject
– The full message body
– Links to any attached media files (via secure, time-limited presigned URLs)
– A link to view the message in the MessageFuture web app


6. Message Delivered – Sender Confirmation

Sent to: The message owner (sender)
Triggered when: A message is successfully delivered to all recipients

Contains:
– The message subject
– The number of recipients it was delivered to
– The delivery timestamp
– Whether delivery was triggered by a Guardian (and if so, which one)


7. Password Reset

Sent to: The user who requested a reset
Triggered when: A user submits the Forgot Password form

Contains:
– A secure, time-limited link to reset the account password

The link expires after a short period. If expired, the user must request a new one.


8. Data Export Ready

Sent to: The account owner
Triggered when: A requested data export finishes processing and is ready to download

Contains:
– A notification that the export is ready
– A reminder of the 30-day download window
– A link to the Settings page where the download button is available


9. Account Deletion Scheduled

Sent to: The account owner
Triggered when: An account deletion is successfully scheduled

Contains:
– Confirmation that account deletion has been requested
– The scheduled permanent deletion date (30 days from the request)
– Instructions on how to cancel the deletion by signing back in before that date


Email Delivery Notes

  • All emails are sent via AWS SES from MessageFuture’s official sending domain
  • If you do not receive an expected email, check your spam or junk folder
  • Transactional emails are not affected by your Quiet Hours or Push Notifications settings – they are always sent regardless of in-app notification preferences
  • You cannot unsubscribe from transactional emails while your account is active, as they are essential to account security and message management
